SERVICES / AUTOMATION

Business automation that runs the busywork for you.

Aurasite builds workflow automation for small businesses in Sydney and NSW: quote follow-ups, booking confirmations, invoice chasing, review requests, reporting runs and the hand-offs between them. Each workflow is wired into the tools you already pay for and priced on its own.

Automation is usually the fastest payback of anything we build. It also compounds with custom software and a fast website, because the leads a site brings in are worth more when every one gets a reply.

// WHAT WE AUTOMATETHE USUAL SUSPECTS

Small business process automation, one workflow at a time.

Most businesses lose hours a week to the same six jobs. Each one below is a workflow we have built before, scoped and priced individually so you can start with the one costing you the most.

AU-01Quote follow-upsA quote goes out, and three days later nobody has chased it. Automated follow-ups by email or SMS at the intervals you choose, stopping the moment the customer replies.
AU-02Booking flowsOnline booking that checks your real calendar, confirms, reminds the day before, and reschedules without a phone call.
AU-03Invoice chasingOverdue invoices chased politely and automatically from your accounting system, with escalation to you only when a customer goes quiet.
AU-04Review requestsA request for a Google review sent at the right moment after a job, to the right customers. One salon client saw review frequency rise 713%.
AU-05Lead routing and CRM entryEnquiries from your website, phone and socials land in one place, tagged and assigned, with the first reply sent in minutes.
AU-06Reporting runsThe Monday numbers assembled automatically: leads, jobs booked, revenue, response times. Delivered to your inbox or a live dashboard.
// HOW IT WORKSMAP, CUT, AUTOMATE
ST-01Map the process as it isWe write down every step, who does it and which tool it lives in. Half the time this finds steps nobody remembers the reason for.
ST-02Cut what is deadSteps that exist because of an old system or an old staff member are removed before anything is automated. Automating waste just makes waste faster.
ST-03Wire it into your toolsXero, MYOB, Square, Stripe, Google Calendar, HubSpot, Airtable, Gmail and the rest. Where a tool has no API we build the bridge.
ST-04Monitor itEvery automation logs what it did and alerts you when something fails, so a broken workflow never silently drops a customer.

A good fit

Service businesses that quote, book, invoice and ask for reviews: trades, clinics, salons, studios, consultancies and wholesalers. If a staff member spends an hour a day copying information between tools, that hour is the brief.

It also suits owners who have tried Zapier or Make and hit the ceiling. We build the same connections as durable code you own, without the per-task fees.

Not a good fit

Automation only works when we are allowed to look at the process first. We map it, ask why each step exists and sometimes tell you the fix is not an automation at all, but a small piece of custom software or no software. If you want a workflow wired up exactly as described, no questions asked, we are not the right agency.

We also never remove a human from a step where judgement matters, like approving a discount or replying to a complaint.

How much does business automation cost?

Automations are priced per workflow, indicatively $600 each on top of a $1,100 base that covers scoping, hosting and launch. Four workflows with three integrations typically land around $7,000. The pricing page shows how the number moves with scope.

Which tools can you connect?

Anything with an API: Xero, MYOB, QuickBooks, Stripe, Square, Google Workspace, Microsoft 365, HubSpot, Airtable, ServiceM8, Cliniko, Shopify and most booking and CRM platforms. Where there is no API we build a small bridge or a form.

Is this just Zapier?

No. Zapier and Make are fine for one or two simple triggers. Past that they become fragile and expensive. We build automations as code you own, with logging, error alerts and no per-task fees, and we can still use Zapier inside a build where it is the cheapest sensible option.

What happens when an automation fails?

Every workflow logs each run and sends an alert if a step fails. Failures in the first 30 days are fixed free. After that you can keep it yourself, use a support arrangement, or call us.

Do you need access to our systems?

Yes, scoped to what the workflow needs. We use your accounts, not ours, so nothing depends on Aurasite existing. Access is documented in the handover and can be revoked at any time.

Start with the workflow that eats the most hours. Fixed quote in 48 hours.
